I use a good site and a whole bunch of paper maps to keep track of all mine. It defs help if you have somewhere to keep everything so you can check as needed
When my late husband was alive, he wanted to hear every word that I wrote. However, he was joking with me one evening and he said that he couldn’t remember all the characters. So just for the fun of it, I made him a program like you would get when going to the theater. His name was Mark. So I titled it “Mark’s Program” . It has the characters in alphabetical order by their names. The next thing I have is the pronunciation of their name. I go from there into name, rank, and serial number. After that is a description of the character including any thing unique like a birthmark or a scar or something like that. Somewhere in there is where they are from and then I just talk about the character. Personality, favorite foods, just whatever comes to mind to make them individuals. Most of the time when doing this I can get a full history on them. I also have sections for lore, language, landscape, species (if that is pertinent to the story).
You were talking about making countries and cities and so forth and or mentioning you weren’t sure what to name them. Unique names for the places could also come in the form of a different language being used and therefore a very odd sounding name.
Such as one place that has distinct silver trees in it, is called the Silver Wood. On the same planet in another kingdom, their names are hyphenated around the middle. It is common for this particular land. One of the names for example would be Kaelnah’Tuur. The first part is always two syllables except for the slaves which only have one syllable. Then after that, there’s only one syllable.
